CRM for a rental business: what to track and why a generic CRM is not enough

What a rental business needs from a CRM — customers tied to bookings, companies and billing contacts, notes, flags and reviews — and where a general CRM falls short.

What a rental business needs from a CRM — customers tied to bookings, companies and billing contacts, notes, flags and reviews — and where a general CRM falls short.

A rental business does not have leads that become deals. It has customers who come back, companies that book on behalf of people, a few names it never wants to rent to again, and a history per customer of what they rented, what they returned late, and what they were charged for. A general CRM stores the name and the email and knows nothing about the rest. This guide is what a rental CRM has to track, and how to tell whether you need a separate tool at all.

What to track per customer

Where a general CRM falls short

It does not know a booking from a deal, a unit from a product, or a return from a closed-won. It cannot flag a customer at checkout, cannot show that the balance is unpaid, and cannot tell you the customer standing at the counter has a hold on file from last month. Syncing a rental system into a general CRM is possible; running a rental business out of one is not.

The signals that matter

Blacklist and flags at booking time. A flagged customer should be visible the moment their name is typed, in the portal and at online checkout.

Companies as first-class records. With members, a billing contact, and the choice on each booking of who is billed and who gets the emails.

Activity per customer. Bookings, payments, notes, emails and reviews on one timeline.

Asks that go out on their own. A review request after the return, a reminder before pickup, a thank-you after the third booking.

How Share Marketplace does it

Customers, companies, notes, flags and a blacklist live in the same system as the bookings, so the record you open from a booking is the whole history. Companies hold members and a billing contact; each booking picks who is billed. Reviews are requested after the return and land on your public store page. Import customers from a spreadsheet to start. See bookings and customers and what Share Marketplace does for rental businesses.
