Event rental delivery scheduling

How event rental companies schedule delivery, setup, teardown and pickup — windows, drivers, delivery fees by zone, buffers, and one calendar for all of it.

For an event rental company the delivery is the product. The tent that arrives Friday at 2 is a success; the same tent at 6 is a complaint. Scheduling delivery, setup, teardown and pickup as part of the booking, on the same calendar as the inventory, is what makes the Friday work.

Four windows, not one

Each order has up to four times: delivery, setup, teardown, pickup. Setup and teardown may be the same visit as delivery and pickup or separate crews. Record all four on the booking so the crew list for Friday is the list of Friday's windows, not a reconstruction from emails.

Delivery fees at checkout

Price delivery by zone or by distance, add setup and teardown as their own lines, and show the total at checkout. A delivery fee agreed after the booking is a negotiation; one shown at checkout is a fact. In Share Marketplace delivery fees are set by zone or distance per store and quoted in the booking flow.

Assigning drivers and trucks

A dispatch view lists the day's stops, who is driving, which truck, and what is on it. Assign from that view, print or send the stop list to the driver, and mark stops done from a phone. Unassigned stops for tomorrow should be obvious today.

Buffer between events

A tent that comes down Sunday evening is not available Monday morning: it needs to be dried, checked and packed. Set a buffer per item so the calendar blocks the turnaround, and let the storefront reflect it.

Weekend and holiday rules

Most event work is Friday to Monday. If the yard is closed on Sunday, the rental should not bill Sunday, and the pickup should roll to Monday. Closed-day rules set once per store do this automatically.

Reminders to the customer

A message the day before delivery with the window and the crew's contact, and one the day before pickup, cuts the calls in half. Automate both from the booking.

Team sheets for the crew

The crew needs a pull sheet per order: items, quantities, which truck, where, when, and anything the customer asked for. Generate it from the booking rather than retyping it; changes to the order then change the sheet.
